IBISResearch FAQs

All University of Miami employees have access to the IBISResearch system and can log in using their CaneID and Password. The login is also available from the IBISResearch home page. Once logged in users may navigate between the grants and agreements modules by clicking on the tabs on the top navigation bar.  

IBISResearch provides a single portal to submit and track the following activities to the Office of Research Administration:

• Proposal or Grant Application
• Contract
• Sponsored Agreement
• Award Modification Request (Rebudget, No Cost Extension, PI Change, etc)

UM employees will be able to access the system using their Cane ID.  All users can create a proposal and agreement and be listed on proposals.

The system defaults 5 periods and provides the ability to add or remove periods. Please refer to the “How to Complete a Budget” section of the IBISResearch: Research Community Reference Guide.

If the person has a 9-month faculty appointment, you enter the annualized base salary. For example, if the salary for a 9-month faculty member is $90,000 then the annualized salary will be $120,000 (90,000/9 x 12 =120,000)

It is recommended that multiple budgets be created at the time of the funding proposal if multiple projects may need to be set up at the time of award. Examples of this are when there are multiple departments on a proposal or multiple PIs that will manage their own budgets within the overall award.

Select Create Additional Budgets activity from the Proposal Workspace.

The IBISResearch system captures the PIs’s signature/certification if they are logged in the IBISResearch system and use the “Submit for Department Review” activity to submit their proposal.

It is expected that the department research administrator obtain the PIs signature on the Endorsement page which pops up when “Submit for Department Review” activity is selected.  The proposal team should do a print screen of the endorsement page and obtain the PI’s signature/certification on it. This can be done by wet ink or digitally.  Once the signature has been obtained, the document would be uploaded to the funding proposal using the “Add Attachment” activity.

Schools are encouraged to submit proposals for these fellowship so they can be tracked and expedite the award setup once the award is received. For fellowships where an award will be made directly to the fellow, Schools are also encouraged to submit proposals so the work is tracked. The proposal will be awarded in IBIS w/o financial setup in WD.

No, the Workday AWD is not a searchable field in IBIS Research, however the IBIS number is searchable in WD.

The FP #, once the FP is marked awarded this will trigger COI requirements.

The Chair should be selected as PI, once the faculty member hiring is completed the individual should be present in the WD feed and can be selected as the PI for the award.

Select the mentor as the PI of the FP, in the FP short title enter the fellow name, in the long title of the FP enter the title that should map to your SF424 (if applicable).

No, please enter an accurate due date, the specialist will default.

On the SF424 yes, not during validation of the Funding Proposal SmartForm.

Enter the sponsor name in the space provided, ORA will research the sponsor and update the FP to reflect the sponsor from the picklist.

Departments should select TBD from the list, ensure they update the Subawardee name on the SF424, in the Subawardee PI indicate the institution. ORA will add the subrecipient once awarded.

Create them as new FPs. Prefix short title with “Resubmission” and log a comment with the InfoEd proposal number of the original application.

It is recommended that multiple modification requests be submitted separately so they can be tracked separately.

When institutional approval/sign off is required from ORA, the technical report should be routed using the Continuation Proposal. If institutional approval is not required, department can use the Deliverables to log the reports.

Advance accounts can be requested by using the send email activity and attaching the Advance Account form.
